What an AI website chatbot does in practice
Most questions a small business gets are the same ones over and over. How much does it cost, what time do you open, where are you, is there parking, do you ship to Crete, how much is a screen replacement. Even if the answers are already somewhere on the site, visitors rarely stop to look for them. They either call you while you are with a customer, or they leave.
The website chatbot we set up appears as a small chat window in the bottom right corner. Visitors type their question in their own words, even with typos or in Greeklish (Greek written in Latin letters), and get an answer in seconds based on your own business information. It is not a tree of preset buttons. It understands the question and answers in natural language.
- Answers questions about services, prices, opening hours, location and policies
- Suggests the right page or product with a link
- Asks for name, phone or email when the visitor wants a quote or to get in touch
- Notifies you by email for every new lead
Trained on your own information, not generic answers
A generic chatbot that answers "contact us" to everything helps no one. We feed our business chatbot with your website content and any documents you give us: price list, FAQs, shipping and returns terms, menu, schedule, instructions for before and after a treatment.
We also give it clear instructions on what it must not say. For example, a law firm doesn't want the chatbot giving legal advice; it wants it to explain what cases the firm takes on and to book a first call. A medical practice doesn't want a diagnosis; it wants information and appointments. When the chatbot doesn't know something, it says so and suggests getting in touch, instead of guessing.
When your prices or hours change, you send us a message and we update its knowledge. This is included in the monthly subscription.
A chatbot for appointments and for capturing customers
For hair salons, beauty centers, medical practices, physiotherapy clinics and repair shops, the most useful part is appointments. The booking chatbot can ask which service the customer wants and which day suits them, and then either send them to the booking system you already use, or record the request with their details and send it to you for confirmation. Which of the two fits depends on the booking tool you have today, and we'll look at it together.
For every other business, the big value is leads. A visitor who writes at 11 p.m. "I want a quote for an 8-page website" is a warm prospect. The chatbot answers with the key information, asks for their phone and email, and in the morning you have a ready request in your inbox with the whole conversation.
Online store chatbot: fewer questions, fewer abandoned carts
In an online store the questions are more specific: how much is shipping, how many days does it take, is cash on delivery available, is this cream right for oily skin, which size should I get. An online store chatbot that knows your shipping policy and product descriptions answers right away, at the moment the customer is ready to buy.
In WooCommerce stores the chatbot can suggest products with a link to their page. For questions that need a person, such as the status of a specific order, it points the customer to the right way to get in touch.
Handover to a person when needed
The virtual assistant doesn't replace you. It takes over the repetitive questions, so you can talk to the people who are ready to become customers. When a visitor asks for a person, when the question is off topic or when it's a complaint, the chatbot recognizes it and gives them a phone number, an email or a Viber and WhatsApp button, or takes their details so you can call them.
All conversations are logged, so you see what people are really asking. This is valuable for the website itself too: if ten people a week ask about parking, that information belongs on the contact page.
Greek, English and GDPR
The chatbot replies in the language the visitor writes in. For a hotel or a holiday rental in Santorini, this means the tourist gets an answer in English and the Greek customer in Greek, from the same installation. It understands other languages too, but we test the answers mainly in Greek and English.
Because the chatbot collects names, phone numbers and emails, GDPR must be followed. Before it asks for details, the visitor sees a short notice with a link to your privacy policy. We help you add a paragraph to your privacy policy about the chatbot and the AI provider that processes the messages. We also recommend it never asks for sensitive data, such as health or card details. For special cases, such as medical practices, it is a good idea to have your data protection advisor review it too.
How the installation works
For WordPress websites we have our own AI chatbot plugin, built and maintained by us. You don't pay a separate subscription to a foreign chatbot platform that charges per message. If your site is on another platform, ask us and we'll tell you whether and how it can be done.
The process is short: you give us access to the site and the documents you want it to know, we set it up, match it to your colors, test it with real questions and show it to you before it goes live.
